Kingston Unity AGM 2020 Checklist
Due to the Coronavirus (COVID-19) pandemic, the AGM will be held via videoconference on Saturday, 26 September 2020. To support our Members with the technical requirements needed to attend our AGM, we have created this checklist, so you can make sure you’re prepared for the videoconference.

Setting up your Zoom
To access our AGM, you will need to use a device that lets you download the Zoom app from the internet. This could be a desktop computer, a laptop, a tablet or a mobile smartphone. If you're not sure if your device is able to download Zoom, give us a call and we can check for you.
It's important to note that multiple Delegates cannot use the same device to vote. Therefore, you will need to use one device each.
You do not need to have a Zoom account to access the videoconference. You can click on the link we will provide you instead.
We recommend that you use the test link we have provided you to familiarise yourself with the Zoom app before the conference. You can also access the Zoom test using the link here.
When you click on the link for your meeting, you will be prompted to download the Zoom app. Simply follow the prompts to download the correct Zoom application for your computer.
If you are having any technical issues, Please get in touch before the date of the AGM and we will help you.
Registering as a Delegate
To be a Delegate at our AGM you must notify us by registering using the Delegate registration form found here.
You can apply to become a Delegate at the AGM before Monday, 17 August. Applications after this date will still be considered but would be too late for inclusion on the agenda.
The registration form also lets you apply to be a Delegate at our SGM that will be held later in the year. We encourage you to apply to be a Delegate at both our AGM and our SGM, but you are not required to.
If you are attending our AGM as a Delegate, you can propose any motions and/or rule changes to be discussed. If you wish to propose a rule change or a motion, you must provide us with this information by Friday, 7 August at the latest.
Notices of motions received after this date will not be included on the final agenda of the meeting and only with the approval of the AGM will they be debated.
In addition to our AGM, we will be hosting a Special General Meeting (SGM) on Saturday, 17 October.
If you haven't already done so, you can register to be a Delegate for our SGM here.
We strongly encourage Members to attend both our AGM and our SGM as Delegates.
Please note. Unless Government restrictions are put back in place, we intend to host our SGM in a physical location. You will receive more information about this in your Delegate packs.
To apply to be a Delegate at our SGM, you must register before Monday, 31 August.
On the day of the AGM
To ensure you have no technical problems on the day of the AGM, we strongly encourage you to test your connection to Zoom using the test link we have provided you. This will help to familiarise you with the layout of the Zoom platform and check that your device is compatible.
To access the AGM, we will be providing you with a unique meeting link. You will need this link to attend the videoconference. Please keep it safe and check you have access to it before the meeting begins.

Your Delegate pack will provide you with the information you need and the agenda for the meeting. We recommend you have it with you when you attend the videoconference.
